Minutes of the 2004 National Conference Committee Meeting

In regards to the committee work plan on the web, it will contain the conference skeleton schedule. There will be no "theme" for the conference. Chairs and staff will plan a site visit in the Fall 2002 (date TBD).

Program Committee

Programming

  • Create the tracks...pull the past tracks to have as reference for creating the tracks for 2004. Possibly add an author's track? (Ray Suarez, possible author)
  • Continue to hold 2 concurrent author luncheons on Thursday and Friday.
  • Make every attempt to have the authors named for the preliminary program.
  • Melissa will look at specs for Seattle and determine how many concurrent programs the convention center will accommodate.

Preconferences

  • Program committee must submit ideas to the board for preconferences (4-5 is ideal) at MidWinter 2003 - start talking about ideas at Annual 2002.
  • Sometimes preconference ideas come through program ideas/symposiums/or other ideas.
  • One preconference slot will be offered to the local association (PLA will staff will take care of this)

At Annual Conference

  • Program & Conference Committees from 2002/2004 will meet to discuss issues/programs.
  • PLA Staff will revise Program Organizers Manual before Atlanta. Committee will give feedback for revisions.
  • Appoint someone from Program Committee to handle talk tables.
  • Give suggestions for OGS speaker, CGS speaker, 4 luncheon speakers and the supper speaker(s).
  • Decide how programs will be approved...will the whole committee do it or will Neel appoint groups to handle every track, etc.
  • Review Program Proposal Evaluation Form.
  • Re-evaluate session preference form.

Program Proposal Submission

  • Revise Program Proposal Form (make speaker reimbursement information very clear and only allow for max of 4 speakers) Post on website - tentatively May 2002. Website should have a link to policy on speaker reimbursement.
  • Add online checklist to insure the form is filled out completely.
  • Program proposals deadline is Friday, November 15, 2002.
  • Program organizer will receive word if the program has been accepted/accepted with restrictions, or not accepted. Letter comes from PLA office.

Program Organizers Breakfast at ALA Annual 2003

  • Hand out program organizers manual and discuss
  • No need for program on presenting at Annual 2003 Local Arrangements
  • Tentatively, All Conference Reception will be at the library.
  • Co-chairs will sit on the committee as co-local arrangement chairs.
  • All committee appointments will be assigned by the Annual Meeting.
